AI consulting for small businesses in BC

Vela AI is based in Whistler. I help small-business owners across BC work out which jobs are worth handing to AI, which tools are worth paying for, and which aren't, before money goes on software.

Advice before the sales call

Most small businesses meet AI through a vendor: a booking system that now has an "AI assistant", a phone service, a marketing tool. Each demo looks good, each one is another monthly bill, and none of them tells you whether it beats doing nothing.

That's the gap Vela AI fills. I don't sell software and I don't take a commission on any tool, so the plan can say "don't buy this" when that's the right answer. It looks at how your business actually runs and says which tools, if any, are worth it, what they really cost once staff time is counted, and what to ask a vendor before signing.

Sea-to-Sky: Whistler, Squamish and Pemberton

Businesses up the corridor run at two speeds. In peak winter and summer weeks the phone, the inbox and the booking page are all busy at once, often answered by staff who are new that season. In shoulder season it goes quiet, and anything you set up has to be cheap enough to justify when it's barely used. A tool that needs a trained person to babysit it is a bad fit for a team that turns over every six months.

Many businesses here are run by the owner, who is also the one on the job site, in the shop or out guiding. When the person doing the work is also answering the phone, writing quotes and chasing invoices, every missed call can be a job that goes elsewhere. The fix is rarely a big system. It's usually one or two small tools aimed at exactly the moment work gets dropped.

Greater Vancouver

Clinics, salons, and law and accounting firms in Vancouver aren't short of people selling them AI. What's harder to find is someone with nothing to sell who will compare those pitches for a business your size and say which ones are worth the monthly bill.

Vela AI is about two hours north in Whistler, and every consultation is an online video call. Working with a Vancouver, North Shore, Burnaby or Richmond business is the same as working with one down the street, and there's no travel cost in the price.

Your customers' information

In BC, a private business that collects personal information is covered by the Personal Information Protection Act. Before any AI tool touches a customer's or patient's name, number or history, the plan answers where that data is stored, who can see it, and what the vendor commits to. Sometimes the right answer is to use AI only on the work that never touches personal information, and that's still worth doing.

Where AI tends to help

  • Calls you can't take

Common questions answered and messages taken, so a missed call becomes a lead instead of a lost job.

  • Repeat questions

Hours, parking, prices, what to bring, all answered from your own information at any hour.

  • Booking and enquiry replies

First replies to enquiries drafted for you or your staff to check and send.

  • Quotes, follow-ups and reminders

Drafts from your notes, and reminders that go out on time without anyone remembering to send them.

  • Staff onboarding

Your procedures turned into something a new hire can ask, instead of asking the manager.

  • Choosing between vendors

A side-by-side of the tools you're being pitched, compared on cost and fit rather than features.

Where it usually isn't worth it

  • Anything that needs a judgement call about a customer: refunds, complaints, safety, anything clinical.
  • Tools priced for a full year that you'd only use in a few busy months.
  • Annual contracts before a two-week trial on your real work.
  • Automating a process nobody has written down yet. Write it down first.

Questions

How does it start?
With a free 15-minute intro call over video. You tell me what's taking your time, and I tell you honestly whether AI is worth looking at for it. Booking takes a name and an email, and you don't need an account.
What does the written AI plan cost?
$300, one time. That covers a 60-minute session about how your business actually runs, and a written plan within 3 business days: what to hand to AI, which tools and what they cost, what to skip, and what to do first.
Do you sell or build software?
No. Vela AI is an advisor. The plan is yours to act on yourself, and if you want more help afterwards, we agree on what fits together.
Do you only work with businesses in BC?
No. Vela AI is based in Whistler and focuses on BC first, but calls are online, so I work with businesses anywhere.
I'm not technical. Is this for me?
Yes. Most owners I talk to aren't. The plan is written in plain language, and I only recommend tools you can run yourself without a developer.
