AI Receptionist for Dental Clinics

The phone rings at a dental office more than anything else in the building, and most of those calls are the same three things: book me in, move my appointment, are you open Saturday. This agent answers all of them, as a conversation, on an ordinary phone line. It books into the clinic's real calendar rather than a copy of it. That sounds obvious and was the hardest part of the build: the sync runs both ways, so when someone at the front desk drags an appointment to a different slot on the calendar itself, the agent knows before the next caller asks. It also asks which dentist the patient wants, falls back to the clinic's usual one when they have no preference, and writes that name into the appointment, so whoever reads tomorrow's schedule knows who is expected. The awkward parts of a phone call were most of the work. A caller who hangs up mid-sentence, a caller who talks over the agent, the same number dialling forty times in a minute — each of those is a specific piece of handling, not something a voice model does for you. To test it, we built a second agent whose only job is to phone the first one and work through scenarios: book, cancel, change your mind halfway, ask for a dentist who is away that week. That is how the failures were found, and it is why we can say what it handles instead of hoping. The calendar and the patient records sit behind an interface, so a different practice running different software is a new adapter rather than a new build. It was built for dental first because that is where the call volume and the no-shows are, but nothing in it is dental-specific.
